Moving to RIT Gmail - Migration Instructions Wizard

Do you currently use RIT's Exchange server?

If you don't forward your email to an external address AND your account was created before August 12, 2009, you are using RIT's Exchange servers (mymail.rit.edu).

Here's what you need to do

You selected "Yes, I use Exchange"

Switch to RIT Gmail

Follow the directions below to direct new incoming e-mail to your RIT Gmail account and to request that your e-mail on Exchange be migrated over to RIT Gmail.

  1. Direct new incoming e-mail to your RIT Gmail account - Visit the Mail Preferences page at start.rit.edu: https://start.rit.edu/MailPreference (authentication required). In the "Mail Forward" section, select the "Google Apps at RIT" option. This will direct all new incoming mail to go to your RIT Gmail account.
  2. Set up your Google Password - If you would like to access your Google Apps at RIT account from anything other than a web browser (like Outlook, Thunderbird, Apple Mail, iPhone, etc.), you will need to create a separate password to use for those applications. Enter that password in the Google Password field. (For more information, see our help document regarding the Google username and password). If you will only be using the web to access your Google Apps at RIT account, you can ignore this field.
  3. Move old e-mail from Exchange to RIT Gmail - If you would like for ITS to migrate your existing e-mail from Exchange to RIT Gmail, select the "Migrate my email" checkbox and enter your RIT Computer Account password. (ITS will only migrate student email to RIT Gmail upon request from the student. For additional specifics about our automated migration of e-mail, see the ITS Migration Details section below.)
  4. Save your changes - Click the "Change my Email Settings" button at the bottom of the page to save your changes.
  5. Complete the activation of your Google Apps at RIT account - Return to google.rit.edu and click on the "RIT Gmail" sidebar link. The first time you log in, you will be prompted to set your default language and accept the Google terms of service. Click the button at the bottom that says "I accept. Create my account." to complete your account activation. (Note: You must complete this step even if you don't intend to use the web to check your RIT Gmail account.)

That's it! You can now check your new e-mail by visiting google.rit.edu and clicking on the "RIT Gmail" link on the sidebar. You will still be able to access your RIT Exchange account at mymail.rit.edu to view existing email until it is migrated.

Please note that when you switch to RIT Gmail, there may be a delay of up to 15 minutes before mail starts coming to your RIT Gmail inbox. This is a one-time delay at account activation. All mail sent to your account during that time will be queued up until your mailbox is fully available.

Request for your mail on Exchange to be moved to RIT Gmail

  1. Visit http://start.rit.edu
  2. Click on the "Mail Preferences" link on the sidebar
  3. Log in with your RIT Computer Account username and password
  4. In the section labeled "Exchange-> Google Email Migration," check the box labeled "Migrate my email"
  5. Enter your RIT Computer Account password in the text box
  6. Click the button at the bottom labeled, "Change my Email Settings"

That's it! You will receive a confirmation e-mail when the migration is complete.

No Action Required!

You selected "No, I don't want anything still in my Exchange account"

Note that if you do still have e-mail in your RIT Exchange account, you may receive e-mails from ITS indicating that you'll need to request migration if you want to keep those messages. If you don't want that old e-mail, you can disregard those messages.

Note that this only applies if your account was created before August 12, 2009. Accounts created after that date are set up on RIT Gmail by default, and no migration is required.

  5. Enter your RIT Computer Account password in the text box
  6. Click the button at the bottom labeled, "Change my Email Settings"

That's it! You will receive a confirmation e-mail when the migration is complete.
